The following terms and conditions shall apply to all users and hirers of the premises known as
Quedgeley Village Hall 208 Bristol Road Quedgeley Gloucester GL2 4PE
Quedgeley Village Hall Management Committee (QVHMC) will endeavour to accept all bookings if
facilities and staff are available, however the QVHMC reserve the right to refuse a booking
enquiry if the committee have any concerns.

Acceptance:

Bookings will only be accepted if the Village Hall Terms & Conditions have been
agreed to by the hirer.

Facilities Available:

Main Hall, Stage & Kitchen , Rear Meeting Room & Kitchen,
Small Room & Kitchen. Disabled Toilet with Baby Changing facilities.

Capacity:

Hirers should be aware that there are strict legal limits to the number of people which
the Hall can accommodate, and these numbers must not be exceeded:-

Main Hall: Seated 120 people in rows as an audience or 80 Seated around Tables.

Payment:

Full payment must be paid upon booking & paid preferably one month prior to the hire
event. All payments should be made payable to:-

Music and Entertainment:

All music and entertainment must finish by 11 pm

Terms of License:

It is permitted for hirers to bring their own alcohol & soft drinks into the premises
for personal consumption only. It is not permitted to sell alcohol or sell raffle tickets for alcoholic
prizes. Consent must be obtained at the time of hire. The hirer agrees to strictly NO underage
drinking.

Set-up time:

The hirer will advise if set up time is required, all set up time will be included in the
total hire period.

Clean-up time:

The hirer will allow clean up time, this will be included in the total hire period.
Inspection of facilities: If on arrival, and before the period of hire starts, the hirer is dissatisfied with
any condition of the Hall or its equipment the Quedgeley Village Hall Committee Hall must be
informed immediately.

Use of the Kitchen:

As a food preparation area, the kitchen is subject to the Food Hygiene
Regulations. Users of the Kitchen are bound to comply with these regulations and must ensure
compliance. All work surfaces, cooking equipment, sinks and utensils should be left clean and tidy.
All equipment must be turned off when not in use as per instructions sited in the kitchen. Hirers, or
caterers acting on their behalf are not permitted to bring cooking equipment into the premises without
the written permission of the Quedgeley Village Hall Management Committee. Calor Gas or similar
portable cooking equipment is not allowed on the premises under any circumstances.
Exclusive use of the kitchen is not guaranteed. If this is a requirement it should be indicated on the
booking form and will only be granted if there are no other users requiring the kitchen during the hire
period.
Use of the Village Hall crockery, cutlery etc. is available & should be requested at time of booking.
Children who are in the kitchen must be supervised at all times. All kitchen equipment used must be
cleaned and put away. All kitchen electrical equipment used must be switched off.

After the hire:

Hirers should ensure that the facilities are clean and tidy after use. Tables must be
wiped, and floors must be swept. All rubbish should be removed & taken away from the premises by
the hirer. Should additional work by the cleaner be necessary, to clean and tidy any part of the hall or
equipment used during the hire, this WILL be charged to the Hirer.

Rear Meeting Room, Small Room

All furniture is to be returned to its original position, and all
tables should be cleaned.

Stage –

Stage – Is not to be used unless requested for a specific event

Main Hall -

All chairs should be stacked against the wall. All tables should be cleaned, folded, and
stacked in the Trollies provided. In order to prevent damage to the floor all chairs and tables must be
carried and not dragged across the floor

Toilets –

All toilets should be left clean and tidy. The hirer is required to clean up all accidents that
may happen. If the hirer has not cleaned up a minimum charge of £45.00 will be charge for cleaning.

Cancellation:

In the event that the booking is cancelled, more than two weeks before the booking
date all monies paid will be returned. If the cancellation is within two weeks of the hire date, the
deposit and any hire charge paid will be retained by the Quedgeley Village Hall Management
Committee. All cancelations must be made in writing via email to sheilapocock@yahoo.co.uk. Or
phone.

Emergency Procedures:

Hirers must familiarise themselves with the position of fire exits and
extinguishers and read the appropriate operating instructions. All fire exits must be kept clear from
obstructions at all times, and clear access maintained.

Security: Hirers

will ensure that there is adequate security on entrance doors in order to control
attendees and regulate numbers. After use, all windows and doors must be checked and secured before
leaving the premises

Lights & Heating:

All lights must be switched off before departure & radiators left at setting number
2 . If they are left on the hirer may be charged for additional energy consumed.

Personal Belongings:

The Quedgeley Village Hall Management Committee can accept no
responsibility for the loss of, or damage to property belonging to or introduced into the Hall environs
by the Hirer or persons present during the period of hire.

Damages:

The hirer will accept liability for all damage incurred by the hirer, guests or any third party
engaged for the booking. The hirer shall bear the costs of making good any damage caused as a result
of the Event.

Good Order and Nuisance:

The Hirer will be held responsible for the conduct of all persons present
during the total period of hire. The hirer is required to keep all guests under a reasonable level of
control. This obligation shall extend to noise levels, general behaviour and sobriety. This obligation
shall also apply to the hirer’ s staff, performers, exhibitors, hired personnel and any other individuals
that are in attendance for the purposes of the Event and not under the control of the Village Hall.

External Advertising Banners

Must be taken down each week. As stated by the Planning
Authorities banners dimensions should be no larger than 180cm X 60cm.

Long Term Hirers Monthly invoices must be paid within 10 calendar days from date of Invoice. Failure to do so will incur a surcharge of 10% which will added to all outstanding balances.

Acceptance of Terms: All bookings are subject to the terms and conditions of Quedgeley Village Hall Management Committee upon receipt of the hire payment the hirer has accepted the terms and conditions
